How do I sign up and onboard my firm?Getting started

Head to /signup. You'll create an account with your work email, then land on the onboarding wizard — firm name, industry, your first client, and your first document uploads. Account creation takes a few minutes; your dedicated onboarding call happens within 48 hours. Most firms are fully live within 2–3 weeks.

How do I invite teammates?Getting started

Settings → Users → Invite. Enter their email, pick the role (Owner sees everything; Staff only sees clients you assign). They get an email with a magic link that creates their account.

How do I add my first client?Getting started

Clients → New. Provide a name, industry, and optionally a fiscal-year-end date. The client workspace is empty until you upload documents or connect QuickBooks.

How do I upload documents?Documents

Open the client workspace → Documents tab → drag-and-drop PDFs, images, or spreadsheets. We read scanned pages, index the text, and store it in your firm's private workspace. You can drop 100 files at once.

What file types are supported?Documents

PDF, PNG, JPG, HEIC, DOCX, XLSX, CSV. Maximum file size is 50MB. Larger files split across pages first.

Why was my upload rejected as a duplicate?Documents

We fingerprint every document and refuse re-uploads with identical content. To re-upload, delete the existing copy first — or contact support if you need to force a re-import of many files.

What happens to extractions that need review?Documents

Any document with weak extraction support lands in Settings → Ingestion → Needs review. Confirm or correct the fields; your corrections teach the system to do better next time.

How do I connect QuickBooks?Integrations

Settings → Integrations → Connect QuickBooks. Authorize under the firm admin's Intuit account; you'll pick which QuickBooks company each MemwaMind client maps to. We sync new changes every 15 minutes in the background.

How do I connect Google (Gmail + Calendar)?Integrations

Settings → Integrations → Connect Google. Grant read-only access. New messages and calendar events land in your firm's private workspace; nothing is re-exposed externally.

How do I connect Outlook?Integrations

Settings → Integrations → Connect Microsoft. Picks up mail and calendar for the signed-in work account.

How do I disconnect an integration?Integrations

Same page: click Disconnect. We revoke the connection and stop syncing. Data that was already imported stays.

How do I train my firm's voice?Voice profile

Settings → Voice profile → Bootstrap. Paste 3–5 historical letters or upload them; we extract tone, sentence length, signature patterns, and preferred phrasings. The profile is applied as a preamble on every draft.

How do voice corrections work?Voice profile

When you edit a draft before sending, we record the change. Every night those edits compound into your firm's voice profile — drafts gradually converge on your style.

How do I ask questions about a client?Memwa

Open the client workspace → Ask. Type a plain-English question. MemwaMind pulls the client's financials, documents, and meeting notes, and returns an answer with citations to every source.

What work can Memwa start?Memwa

Memwa can search documents, generate spreadsheets, pre-fill tax returns and PDF forms, look up IRS guidance, search the web for regulations, and run calculations — see Settings → Skills for the full catalog.

Can I paste an image into Memwa?Memwa

Yes. Paste or drop an image (e.g. a screenshot of a 1099) into the composer. Memwa reads the image, extracts the relevant fields, and routes them to the right workflow.

Why did the agent stop and ask me a question?Memwa

When Memwa needs more source support to continue, she pauses and asks one clarification. Pick a suggested option or type a free-text answer; she resumes where she left off.

I got a 'daily cost cap reached' error. What does that mean?Memwa

Each firm has a daily AI usage cap (default $25). When you hit it, Memwa pauses new work until midnight UTC — or an owner raises the cap in Settings → Usage.

How do alerts work?Alerts

We run a nightly analysis on every client's financials and flag values that deviate from that client's own historical patterns. Every alert includes a plain-English explanation of what changed and why it stood out.

How do I acknowledge or dismiss an alert?Alerts

Click the alert → Acknowledge, or dismiss with a reason. Your dismissal reasons teach MemwaMind to stop surfacing recurring false positives.

Can I adjust alert sensitivity?Alerts

Yes. Settings → Alert thresholds. Raise or lower the sensitivity level and the minimum dollar threshold per firm. Over-sensitive clients settle after two weeks of tuning.

How do I create an engagement?Engagements

Engagements → New. Pick a client, a template (1040, 1120-S, monthly bookkeeping, audit, onboarding), and a kickoff date. The template seeds a task checklist you can edit.

How do I log time?Engagements

Open the engagement → Time → Add entry. Or use the quick-add in the global nav. Time entries stay within your firm and feed the billing export.

How do I export my firm's data?Export

Settings → Export → Request full export. Runs as a background task; the download link lands in your background tasks badge. Includes every client, alert, document metadata, and conversation.

How do I generate a client report?Export

Client workspace → Reports → New. Pick a template (financial overview, variance summary, year-end summary). The report is branded from Settings → Branding.

Which billing tier am I on?Billing

Settings → Billing. Tiers are Solo / Standard / Enterprise based on active client count. Founding firms get 25% off list for 24 months.

How do I update my payment method?Billing

Settings → Billing → Manage. Opens Stripe's customer portal — update card, download invoices, change billing email.

How do I cancel?Billing

Settings → Billing → Manage → Cancel. You keep access until the end of the billing period. Export your data first via Settings → Export.

Why do I see 'Using backup model' in the UI?Troubleshooting

Our primary AI provider is responding slowly or returning errors, so we automatically routed to a backup provider. Quality should be comparable; expect the banner to clear within a few minutes.

Where can I see if MemwaMind is having issues?Troubleshooting

status.memwamind.com (also linked in the footer) shows live per-service health and recent incidents. You can subscribe via email to be notified on new incidents.

How do I report a bug?Troubleshooting

Use the Feedback button in the bottom-right of every page → Report bug. We'll auto-include the page URL and recent console errors. For emergencies, email founder@memwamind.com.

My upload is stuck on 'processing'. What do I do?Troubleshooting

Jobs → find the ingestion job → Retry. If the retry also fails, the Detail tab will show the error; forward it to founder@memwamind.com with the job id.
